It's the dog days of summer and you may be thinking about squeezing in more vacation time or getting the kids ready for school. Don't forget to think about your business too.

I formed an action group with four VA friends to work through the Get Clients Now! program. We meet weekly to discuss our marketing plans and progress. My coach friend, Stacey Lane, was kind enough to join us for one call and give us an outsider's perspective.

Backing up the easy way

Backing up your computer--you know you should be doing it, but who wants to bother? My advice: make it automatic and then you don't have to think about it.

I bought an external hard drive (Western Digital, 80 mg) and purchased the software Drive Image 7 for imaging my hard drive. (Note: Drive Image 7, formerly a Power Quest product, is now owned by Symantec).

Drive Image allows you to create a back up job to run automatically. Mine is set up to copy my computer's hard drive to my external hard drive every Friday night at 5 pm. Since the external drive does not have an infinite amount of file space, tell the job how many backups to retain before overwriting previous ones.

The files on the external drive are very easily accessed. Once I deleted a file that didn't mean to and I recovered it from my backup drive in seconds.

Considerations:

1. Your computer must be on before the automated backup job will run;

2. Once, inexplicably Drive Image 7 stopped working. I had to restore my registry to an earlier date using XP's System Restore program and follow the directions on Symantec's Web site to get it working again. I haven't had a problem since;

3. You need to maintain your external hard drive like any other drive: remember to scan it and defragment it.

I was able to install the drive and the software myself, but I'm sure that a computer technician would be happy to oblige. To me, the cost ($220 at the time) was worth the price because I know my files and my clients' files are safe.

Quick tip: Word's reviewing tool bar

Do you ever send Word documents back and forth with someone and wish you could show the changes that you made. Try the Word reviewing tool bar: View>Toolbars>Reviewing. Press the Track Changes icon to record your changes. The recipient can accept or reject each one later. Add comments to explain your actions. Give it a whirl.
